Reports can be scheduled (most standard reports and custom reports) to run at a particular time and save the output to a pre-defined directory or attach it to an automated email notification.
The Cloud Task Engine is required to schedule reports. If your organization does not already have the Cloud Task Engine or you are not sure if you already have the Cloud Task Engine, enter a ticket with Support Services and they can get it configured for your organization.
It is not possible to schedule a report from the Report Master; instead, you need to open the report from the feature where the report is listed. For instance, to schedule a Customer Statement, you would open an account and follow the steps as if you were generating the report.
To schedule a report:
- Select Reports on the feature where the report is located.
- From the Event List, select the report you want to schedule.
- Enter the desired values into the report prompt. If there is a date range selected on the report it will be respected.
- Click Schedule Report. The Add Scheduled Task(s) window opens. If the Schedule Report button is not available, then report scheduling is not available for that report.
- Enter the necessary information:
- Interval - How often to run and send/save the report: One Time, Hour, Daily, Weekly or Monthly.
- Task Start - Date and time to begin running the report.
- Options - Defaults to Send To Email. You can change it to one of the other available options:
- Save To My Folder - Saves the report in your My Personal Documents folder.
- Send To Workflow Email - Sends the email to the bill to account/contact or account/contact based on what you selected on the report prompt. This option is only available when selecting an option other than To Printer or Via Email To Myself from the Send drop-down on the report prompt.
- To List - Email addresses for who needs to receive the report.
- From Email - Email address used as the From email address on the email.
- Task Type - Set to Report.
- Task Status - Current status for the report scheduling:
- Sleeping - Report is temporarily no longer run and sent. This status does not automatically update; you must manually update it to Stopped if it is no longer needed or Waiting if you want to continue with the schedule.
- Stopped - Report is no longer run and sent.
- Waiting - Report is ready to run and is waiting for the scheduled time.
- Hold - If checked, the report is not run. This allows you to stop the report from running without having to update the Task Status.
- Expand the Additional Information section and enter the necessary information:
- Carbon Copy - Email addresses to carbon copy on the email. Only available if Send To Email or Send to Workflow Email is selected in the Options.
- Email Template - Email template to use for the email. Only available if Send To Email or Send to Workflow Email is selected in the Options.
- Save In Folder - If checked, the email is saved in My Personal Documents folder. Only available if Send To Email or Send to Workflow Email is selected in the Options.
- Create Activity - An activity with the selected activity type is created when the email is sent. If Default Activity Type is selected, the activity type selected in the Default Activity Type drop-down on the Email tab of the Organization Configuration page is used. Only available if Send To Email or Send to Workflow Email is selected in the Options.
- Click OK.
- From the Main Menu, search for and select Scheduled Tasks. The Scheduled Tasks page opens. Locate the task you just created to verify it is scheduled.

The email template field is greyed out is the a configuration changed need here?

Hi Missy,
On the Add Scheduled Task(s) window the Email Template field is only enabled on Send To Email option when coming from a report list. If you really need this run the report from the report list and it will be enabled. Main menu reports do not currently allow this but we do have an enhancement on our backlog to allow it. I will update this thread once the change has been made for main menu reports.
