You can assign a personnel position to a personnel contact to designate the position the contact has within your organization.
Add a Personnel Position
- Click the Personnel Positions link from the Main Menu. The Personnel Positions page opens.
- Click the Add button. The Add A Personnel Position window opens.
- Enter the following information:
- Description - Name of the position.
- Status - Active positions are available for selection from the Position drop-down.
- Code - Unique alphanumeric value.
- Click OK.
Change a Personnel Position
You can change the information for a personnel position after you have created it. When you change the information for a personnel position, it updates wherever the personnel position is used. If you don't want to update the already existing personnel position data, then you must add a new personnel position using the steps in Add a Personnel Position.
- Click the Personnel Positions link from the Main Menu. The Personnel Positions page opens.
- Select the personnel position to edit.
- Right-click and select Edit. The Edit Personnel Position window opens.
- Update the necessary information.
- Click OK.
Inactivate a Personnel Position
If you no longer use a personnel position but want to keep record of it for reporting or other purposes, you can make it inactive. When you make a personnel position inactive, it is no longer available for selection in the Position drop-down.
- Click the Personnel Positions link from the Main Menu. The Personnel Positions page opens.
- Select the personnel position to make inactive.
- Right-click and select Edit. The Edit Personnel Position window opens.
- Select Inactive from the Status drop-down.
- Click OK.
Delete a Personnel Position
If you no longer use a personnel position and don't want to keep a record of it, you can delete it. When you delete a personnel position that is used, you receive a prompt to select a personnel position to replace the personnel position you are deleting. You cannot undo the delete or delete and replace process.
- Click the Personnel Positions link from the Main Menu. The Personnel Positions page opens.
- Right-click on the personnel position to delete.
- Select Mark for Delete.
- Click the Save button. If the personnel position is used, the Replace window opens.
- Select the personnel position from the drop-down to replace the deleted personnel position.
- Click OK.
