iEBMS Logon Configuration
iEBMS Logon Configuration ensures consistency in the way participants enter data, through the display and requirement of demographic fields. A Logon Configuration is required for use of any iEBMS modules, as it allows for logging into the system via an email address that is used as the login name. You must have iEBMS installed in order to use any of the iEBMS modules.
Adding a New Logon Configuration
The Logon Configuration can be set at the event level, so that each event or client can use a specific logon. This allows the logon to change based upon event needs or security.
- Navigate to Logon (v19).
- Select the Add icon.
- When the Add Logon Configuration window opens, you will need to create a Code and Description. The Code must be unique among configurations and the Description is the field that will be selected from the drop-down on various iEBMS applications.
- Examples: Code: MEMBERSHIP Description: Membership Logon
Creating the Logon Configuration
After determining your Code and Description you will move on to the three tabs: General, Account Input Fields, and Additional Fields. Within each tab, there are a variety of options available for configuration.
Required fields display in green and must be selected prior to saving the Logon configuration.
General Tab
- Standard Logon Application: Allows for login to various iEBMS modules.
- Add Account (Stand Alone): Allows for only Account information to be added to the system. Other features of iEBMS, such as Membership or Registration, will not be available.
- Dictionary: The phrases from the selected dictionary will be used on the Logon pages. By using a custom dictionary, you can modify the standard phrases in order to generate a specific look and feel. If you need the Logon to display in another language, you can select one of the standard foreign language dictionaries.
- Regional Options Location: Dates and times will display on the Logon pages according to the format of the regional options selection. The selections are pulled from your Operating System.
- Project: Assigns this Logon to a specific Project, which allows only those assigned to the Project to be able to login.
- Password Emailing: Should the user enter the wrong password, this setting determines if the password will be emailed automatically, upon request only, or never. The password is linked the email address and password designated on the Account level.
- Account Designations: Choose from the dropdown menu what designations you wish to assign to the Account when it’s added to the system, such as Event Sales, Membership, etc. Multi-select by selecting this button.
- AR Control: For multiple organizations that utilize the same databaseare, AR Control is used to determine which accounts each organization is allowed to view. AR Control is set as an Access Privilege, set up under Organization Administration.
- User Defined Fields: After selecting an Account Designation you will be able to add additional information you want to capture for the user, via User Defined Fields for that designation. The User Defined Fields are set up in the Issue Master.
- Defaults: These fields are automatically added to the Account when brought into the system and are not seen by the user.
- Added Account Affiliation: When an Account is added, the Affiliation you designate here will automatically prefill.
- Added Account AR Control: Newly added account will have the selected AR Control assigned. Maintained under AR Control Configuration.
- Added Account Type: When an Account Type is added, the Account Type you designate here will be auto-filled.
- v20 External Role: Will be implemented in a future release.
- v20 Internal Role: Will be implemented in a future release.
- Send Email Confirmations: Used for Stand-Alone Logon’s only. If checked, an email confirmation will be sent to the email used to login.
- Once the check box has been selected you may right-click to add email addresses to this Logon.
- Any time changes or updates are made to the Logon a notification will be sent to the listed email addresses.
- Add Organization Account and Contact – If checked, both the Account and Contact will be added for this Logon.
- Only Contacts Can Logon – If checked, only listed Contacts for this organization will be able to Logon.
- Global Logon – If checked, a single logon allows a user to go between a group of application configurations.
- Example: Go from the Calendar of Events to Service Order Processing without have to log in to Calendar of Events then into Service Order Processing.
- Allow:
- Allow New Account With Same Email (Recommended for iEBMS Registration Only) – Allows multiple Accounts to be maintained under a shared email address.
- Allow Archived Accounts to Logon – Allows for archived accounts to logon, despite their archived status.
- Allow Account Editing – Allows users to edit their existing Account information.
- Allow Edit of Non Logon Account – If checked, accounts other than the one used for logon can be edited.
- Allow Auto Logon with Account Code on URL – Users can logon to the system via a URL that bypasses the need to type in a User ID and Password.
- Example: You have established a Membership Directory and send the URL out in an email blast to your clients. By providing them with the link, they are able to go straight to the directory.
- Add on the following wildcard to the URL and now the clients can bypass the login and password and be linked directly to the site.
- Wildcard: &accountcode=*AcctCode
Example Link: http://www.clientname.com/Database/mbd/mbd_p1_all_member.aspx?oc=10&cc=CONV&accountcode=*AcctCode
- Show:
- Show Department on Select Account Page – If checked, the Account Department will display.
- Show Address on Select Account Page – If checked, the Account Address will display.
- Force:
- Force Account Search on URL For Auto Logon - If checked, user will be required to log in by adding a valid account search and account code to the URL when connecting via an e-mailed URL.
- Force Logon After Adding New Account – If checked, the user will be required to log in after adding a new Account.
- Use System Generated Passwords – If checked, the system will generate a password when required, with a default of 6 characters.
- Password Length – Designate in this field the number of characters you wish the password to contain, within a minimum of 5 characters and a maximum of 14.
- Logon Pages:
- Allow Logon Page – At Logon you will be prompted to enter an email address and password.
- Allow Add New Account Page – At Logon you will also have the ability to Add a New Account from the Logon screen.
- Default to New Account Page – At Logon you will automatically be directed to an Add New Account Page screen.
- Validate E-Mail Address – Verifies the E-Mail address being used is in the correct format by checking for both the @ symbol and a domain address, such as .com, .org, or .net.
Account Input Fields Tab:
- Address Input:
- Contains all the account fields that can be made available over the web. The three field settings for each field are Yes, No, and Required.
- Choosing Required means that the field will display and completing the field will be mandatory in order to proceed to placing an order. Note that First and Last Name are preset to Required.
- A Yes value means that the field will display, however, its completion is optional. This can be used for fields such as Address Line 2 and Address Line 3 which may not be applicable for each attendee.
- A No value means that the field will not be displayed.
- Communication Codes Input:
- There are three Code fields which allow input of Communication Codes, such as Main Phone Number, E-Mail, Fax, etc. In addition, the same Yes, No, and Required fields apply here as they do for the Address Input fields.
- Direct Mail Input:
- Direct Mail is the communicating of notices, opportunities, promotions, etc. from the user to clients or consumers, via the use of email, mail, and telecommunications.
- Direct Mail is available as a check box on the Logon application screen, giving or denying permission for a user’s email address to be included in all Direct Mail publishings.
- Default to Checked When Adding Account – If this box is checked, the information in the Direct Mail field will be automatically defaulted to checked upon creation of a new Account.
- Passport Input:
- Indicate with these fields if you want to display specific Passport information on the Logon Account screen. The same Yes, No, and Required fields apply as before.
- Account Logo:
- Users can display a Logo on their Account pages by selecting the Yes or Required response in the Account Logo field. If they allow a Logo they will be asked to submit the dimensions of the image size in the fields to the right, as well as selecting the format of the image in the checkboxes below. Importing the image will be allowed on the Account screen upon Logon.
Additional Fields Tab:
These fields are based on the Account Designation Set on the General Tab. If you choose to show Products and Services, begin by marking the checkbox at the top of the tab.
- Caption – For all Groups you may enter a Caption or heading for that group that will display on the Create Account Page, as well as the Account page itself.
- List: Products/Services – This is a hyperlink that will open a new screen, listing the available Products and Services you may feature on your
- 2 Column Display – Check this box if you wish to display the Products and Services in a 2-column format.

Any clue why a user (contact) gets this error message in a v19 COE LOGON?
'You cannot logon with this account because the account has no contacts.'
The LOGON is set up like following:
Only contacts can logon is clicked.
If I take this away, then this error message does not show up of course, but the user trying to login is actually a contact in the system and not an organization. But regardless, the user does not get to see the event list in COE after login.
The contact is listed under contacts in v20, a primary account (organization) is also mapped, internet logon is checked, can use v20 registration without any problems.
If I compare account settings in v19 or 20 for different users from same organization, I do not see any differences, but one can login without problems, the other one gets this message at login, and if refreshes the page, does not see any events in COE (since I believe the system considers this account as a organization and not individual, although in v20 the account class for this entry is correctly shown as individual).
I would be happy about any suggestion to check why this is happening.

HI,
I am trying to set up the 'Allow Auto Logon with Account Code on URL' so that some internal users do not have to log on to VA every time. I have used the &accountcode=*AcctCode but I get the error 'Log on was attempted with an invalid account code, however I am testing with my own account/account code.

Hi there, is there any way to set a verification when new users sign up for a new account? Like a verification email that send to the email address that they entered and require them to click on that link to activate the account.
We are setting up a new VA for public to use. Evaluating whether we can prevent potential spams or misuse that users using someone else's email addresses.

I set up a user and when they try to log in they get the error message "cannot logon with this account because the account has no contacts"
I set up 2 users, exactly the same, one can log on and one can't.

Hi Joey,
If you uncheck the Only Contacts Can Logon check box, then accounts with no contacts can login. Give that a try on your logon configuration and see if it works for you.
