The following configuration is required to allow use of additional/multiple languages in Online Space Booking.
The Configurations are listed in a the order required to provide the necessary components or info for each of the following configuration steps.
Dictionary
You will need to have a Custom Dictionary defined for each Language you wish to use in OSB.
- Main Menu > Dictionaries
- Verify the EBMS Dictionary for your language is listed
- If not, you may need to work with your consultant or support to get the Dictionary added
- Copy the EBMS Dictionary for your language – to create a Custom Dictionary
- Custom Dictionaries are necessary to allow you to update Phrases for your OSB.
- For more information on Dictionaries see the Dictionaries section in Pre-requisites in this manual and/or the Knowledge Base Article, Custom Dictionaries.
- Note: Not all phrases used in Online processes such as Online Space Booking are contained in the Dictionary. If you plan/need to use more than 1 language, you will also need to utilize Alt Description fields, up to 5 Alt Descriptions may be added to the software. This will allow you to update values such as Event Category, Event Class and Event Type, etc. which are user created via master screens. Determine which Alt Description value you will use to define your additional language(s). You may need to edit layout in those screens to add the Alt Description fields required for your configuration. See the Knowledge Base Article for Alternate Descriptions for more information.
- Custom Dictionaries are necessary to allow you to update Phrases for your OSB.
- Verify the EBMS Dictionary for your language is listed
Language
All languages you wish to use must be added to the Languages screen in Enterprise
- Main Menu > Languages
- If your desired language is not listed, click Add
- Description: Enter your Description of your language (Spanish, French, etc.)
- Preference: Set to Primary if this is your only language or the Alternate Description (1,2,3,4 or 5) you plan to use for your language.
- Default Dictionary: Select the Custom Dictionary you created for your selected Language.
- Default Custom Report Dictionary: If you wish your Reports to be produced in your Language you will need to select a Custom Dictionary for Reports.
- Code: Enter a unique Code for your Language (3 characters maximum).
- If you have multiple ORGs defined – you will need to add Language Preferences to define which Alternate Description value to use for each Organization.

- If your desired language is not listed, click Add
Email Template
You will need to create unique Email Templates in your desired Language for things such as Forgot/Reset/Change Password, Booking Acknowledgements, etc.
- Main Menu > Email and Merge Templates
- Filter the screen using Subject - select “Forgot Password”, “Change Password”, and “Event” as your Subjects > Search
- When you identify an Email Template such as “Change Password” Rt-Click on the Template to select Copy from the Menu and enter/update the following:
- EZWriter Tag: Enter a Code for your new Template (note: spaces are not allowed) For example, “Change_PW_French” or something similar
- Enter a Description of your new Template “Change Password French”
- Click OK to save your new Template
- Edit your new Email Template
- Description: This will be filled by the Description you entered via the Copy.
- Subject: This will be filled based on the Email Template you copied.
- Heading: This may be used to “group” or “organize” your Template in the Email and Merge Templates screen. This is optional.
- Email Subject: Enter the text to display as the Subject for your Email in your Language.
- Header tab: Enter the text of your email in your Language.
- Note you may copy the existing text and then use a Translation tool (online or otherwise) to convert the text to your Language – then copy/paste into the Header to replace the existing text. Do pay attention to any Hyperlinks or Fields which may have been inserted to keep functionality intact.
- Template Documents tab: This is a newer feature of Email Templates – attach any additional Document/Files you wish to send with your Email. This is optional.
- Template Languages tab: If displayed this section is not necessary.
- Access tab: Define user access for the Template.
- Detail tab: If text is displayed, convert it to your Language.
- Summary tab: If text is displayed, convert it to your Language.
- Click OK to save the changes to your Email Template.
- Repeat this process for any other Email Templates you may wish to use for your Online Space Booking process.

OSB Configuration
- Define your Language(s) in your Online Space Booking (OSB) configuration.
- Select the Languages tab to see which Languages are defined for your OSB Configuration
- Click Add to Add your new Language
- Language: Select your Language from the list generated by the Languages screen.
- Dictionary: Select the Custom Dictionary you created for your Language.
- Description to Use: This is where you will select the Alternate Description (1,2,3,4 or5) value you plan to use for your Language.
- Region: This field determines the format of fields such as Date/Time to be used for your OSB configuration.
- Default Language: Initially you may not check this Box, it may be checked once you have saved your Language via the Default Languages column in the Languages screen grid– but only 1 Language may be checked as Default.
- Click OK to save your changes.
Public Sign In Configuration
- The Email Template to be used for different Languages is defined via the Public Sign In Configuration selected in your OSB configuration.
- From your OSB Configuration screen – note the Public Sign In Configuration you have selected.
- Main Menu > Public Sign In Configurations
- Select and Edit your Public Sign In Configuration
- Note: you may need to Edit Layout to add the “Password Recovery Email Template Alternate” fields for the Alternate Descriptions you have configured for your Language.
- Click on the “Password Recovery Email Template Alternate” field you are using for your Language and select the Custom Email Template you created for your Language.
- Note: this only applies if you have checked the “ Enable Password Recovery” box in your Public Sign In Configuration.
- Click OK to save your changes.
- Select and Edit your Public Sign In Configuration

Master Tables/Screens
- Be sure to edit your master tables – where you may need to use Edit Layout to add your Alternate Description fields – so you can enter the tables values in your desired Language(s).
- This includes screens such as Event Categories, Event Classes, Event Types, Spaces, Features, Setups, etc. Review your OSB Screens to identify which Fields you have selected for your OSB Configuration.
This completes the configuration of Online Space Bookings for Additional Languages.
