Save Draft Emails
Draft emails are emails you are in the process of creating. They may need editing or corrections and are not ready to send. Draft emails are not automatically created by Enterprise; you must save emails as a draft from the Email screen.
To create a draft email:
- Open the Email screen.
- Compose the email as needed.
- Click Save as Draft at the top of the Email screen.
To access a draft email:
- Click the Draft Emails link from the Main Menu. The Draft Emails screen opens.
- Select the draft email you saved.
- Right-click and select Edit. The Email screen opens.
- Make any additional changes.
- Click the Send button to send the email or click Save as Draft to save the new updates without sending it.
Preview Emails
Before you send out an email, you may want to preview it first to check accuracy, layout, information, wildcards, etc. The Preview Email screen is a view-only screen; you cannot edit the email from this screen. The Preview Email screen shows the email as it would appear in the web not in any specific email provider. You also cannot preview the subject line for the email, only the email body.
To preview an email:
- Open the Email screen.
- Compose the email as needed.
- Click Preview Email at the top of the Email screen. The Preview Email screen opens. This screen shows how the email appears to recipients.
- If there are multiple recipients, click the Previous Recipient and Next Recipient buttons to see how the email appears for each recipient.
- Click Send to send the email from the Preview screen or click Cancel to close the Preview screen and return to the Email screen.
View Emails
To view an email:
- Locate the account, contact, event, etc. for the email.
- Select the Documents tab.
- Select the email to view.
- Right-click and select View -> View Email. The View Email screen opens.
- Click the Close button when done.
Reply to Emails
To reply to an email from Enterprise:
- Locate the email in the applicable Documents tab.
- Select the email to reply to.
- Right-click and select View -> View Email. The View Email screen opens.
- Select Tools -> Reply or Reply to All (to reply to all recipients). The Email screen opens with the recipient(s) in the To field and the original email in the Email Body tab.
- Enter additional text to the email.
- Click Send.
Forward Emails
To forward an email from Enterprise:
- Locate the email in the applicable Documents tab.
- Select the email to forward.
- Right-click and select View -> View Email. The View Email screen opens.
- Select Tools -> Forward. The Email screen opens with the original email in the Email Body tab. If there are any attachments on the original email, the attachments are automatically attached to the forwarded email.
- Enter the recipient email address(es) into the To field.
- Enter additional text to the email.
- Click Send.
Resend Emails
You can resend emails from Enterprise. You cannot resend emails that are not yet sent. To resend an email from Enterprise:
- Locate the email in the applicable Documents tab.
- Select the email to resend.
- Right-click and select View -> View Email. The View Email screen opens.
- Select Tools -> Resend. The Email screen opens with the recipient(s) in the To field and the original email in the Email Body tab. If there are any attachments on the original email, the attachments are automatically attached to the resent email.
- Click Send.
Print Emails
- Locate the email in the applicable Documents tab.
- Select the email to print.
- Right-click and select View -> View Email. The View Email screen opens.
- Click Print at the top of the Email screen. The PDF Viewer opens with the email.
- Click the Print button.
Email Read Receipts
You can enable read receipts for an email sent through Enterprise. When you enable read receipts, you receive a notification when an email recipient opens an email you sent.
To enable read receipts, you need to check the Request Delivery Receipt field on the Email screen. If you do not have this field on your screen, you need to add it to your screen layout. You need to add the Request Delivery Receipt field to the Email screen in the different areas of Enterprise where it is needed. For example, accounts, contacts, events, campaigns, etc. Adding it to one Email screen does not add the field to every Email screen in Enterprise.
Whenever an email is sent from the Email screen with the Request Delivery Receipt check box checked, you receive a read receipt for the email. The delivery receipt is sent to the From email address for the email and displays in the native email program (Outlook, etc.). It does not display in Enterprise.
Import Emails
You can import emails into Enterprise using the Outlook Add-In. The Outlook Add-In requires a separate installation. Once the Outlook Add-In is installed, you can import emails into the Documents tab in the following areas:
- Accounts
- Opportunities
- Campaign
- Event Opportunities
- Events
- Requisitions
- Vouchers
- Event Suite
- Contracts
- Orders
- Exhibitors
- Jobs
- Purchase Orders
- Invoices
To import an email using the Outlook Add-In:
- From within Outlook, select the email(s) to import. Use Ctrl+Click or Shift+Click to select multiple emails.
- Right-click and select the folder you want to import the email into. A selection screen displays.
- Select the record you want to import the email into (the account, event, invoice, etc.).
- Click OK. A success message displays for each imported email.
Delete Emails
You can delete emails from Enterprise. Once you delete an email, you cannot recover it. To delete an email:
- Locate the email in the applicable Documents tab.
- Select the email to delete.
- Right-click and select Mark for Delete.
- Click Save.
