You can track and report cancelled and lost business trends related to exhibitors using Exhibitor Cancellation Reasons. When you cancel an exhibitor, you can select one or more cancellation reasons to track why the exhibitor is cancelling. Exhibitor cancellation reasons can apply to one or more exhibitor status and can also require additional notes if needed.
Add an Exhibitor Cancellation Reason
- Click the Exhibitor Cancellation Reasons link from the Main Menu. The Cancellation Reasons screen opens.
- Click the Add button. The Add Cancellation Reason screen opens.
- Enter the following information:
- Description - Description that displays to the user when selecting the cancellation reason.
- Code - Unique alphanumeric value.
- Sequence - Determines the order the reason displays in the drop-down on the Cancel Exhibitor screen.
- Comment Required - If checked, the user must enter additional details when selecting the cancellation reason.
- Click the Select button in the Exhibitor Cancellation Reason Statuses tab. The Select Cancellation Reason Statuses screen opens.
- Select the Exhibitor Status(es) where the cancellation reason is available for selection. Only statuses with a weight of 80 or above are available for selection. Select multiple statuses using Shift+Click or Ctrl+Click.
- Click the Select button. You return to the Edit Cancellation Reason screen.
- Click OK.
Change an Exhibitor Cancellation Reason
You can change the description, sequence, comment requirement and/or the exhibitor status(es) for the exhibitor cancellation reason after you have created it. When you change the description of an exhibitor cancellation reason, it updates wherever the exhibitor cancellation reason is used. If you don't want to update the already existing exhibitor cancellation reason data, then you must add a new exhibitor cancellation reason using the steps in Add an Exhibitor Cancellation Reason.
- Click the Exhibitor Cancellation Reasons link from the Main Menu. The Cancellation Reasons screen opens.
- Select the exhibitor cancellation reason to edit.
- Right-click and select Edit. The Edit Cancellation Reason screen opens.
- Make the desired change.
- Click OK.
Inactivate an Exhibitor Cancellation Reason
If you no longer use an exhibitor cancellation reason but want to keep record of it for reporting or other purposes, you can make it inactive. When you make an exhibitor cancellation reason inactive, it is no longer available for selection when cancelling an exhibitor.
- Click the Exhibitor Cancellation Reasons link from the Main Menu. The Cancellation Reasons screen opens.
- Select the exhibitor cancellation reason to make inactive.
- Right-click and select Edit. The Edit Cancellation Reason screen opens.
- Check the Retire check box.
- Click OK.
Delete an Exhibitor Cancellation Reason
If you no longer use an exhibitor cancellation reason and don't want to keep a record of it, you can delete it. When you delete an exhibitor cancellation reason that is used, you are prompted to select a cancellation reason to replace the cancellation reason you are deleting. You cannot undo the delete or delete and replace process.
- Click the Exhibitor Cancellation Reasons link from the Main Menu. The Cancellation Reasons screen opens.
- Right-click on the exhibitor cancellation reason to delete.
- Select Mark for Delete.
- Click the Save button. If the exhibitor cancellation reason is used, the Replace screen opens.
- Select the cancellation reason from the drop-down to replace the deleted cancellation reason.
- Click OK.

How do you view all of the exhibitor cancellation reasons and the comments that have been entered for a specific event?

Updated: There is a screen off the Main Menu called Exhibitor Cancellation Reasons Reporting that lists the cancelled exhibitors with the reasons.
Hey Sara,
Right now there is not a window in Ungerboeck that will let you see all that data. The best we can provide in the released versions is the exhibitors grid with 3 columns available for the first 3 reasons. The part we are missing are the comments, right now you will have to review them one by one. So you can get the reasons, but not the comments in the exhibitors grid.
If that doesn't work, I recommend building a custom report, or having tech services build it for you.
In 20.93, we just added a new window from the main menu that will allow you to view cancellation reasons with comments, which is basically that same window you see from exhibitor > cancellation reasons tab, if you pushed it to full screen. Today in released versions (20.9 and 20.92) it always filters by the exhibitor since we do not have a window you can access from the main menu.
