Assign tracks to functions to group functions that relate to each other in some way. In general, tracks are useful when functions represent sessions.
For example, consider a sales conference with:
- A Marketing Track that includes a series of sessions covering marketing related topics.
- A Technology Track that includes sales tool demonstrations and training workshops.
Add a Track
- Click the Tracks link from the Main Menu. The Tracks page opens.
- Click Add. The Add Track window opens.
- Enter the name of the track in the Description field.
- Click OK.
Assign a Track to a Function
- Click the Events link from the Main Menu. The Events page opens.
- Select the event to display the event details.
- From the View menu, go to Event Planning, then select Event Functions. The Event Functions page opens.
- Right-click the function, go to Edit, then select the Edit option. The Edit Function window opens.
- Select the track from the Track drop-down. If the Track field is not visible, edit the layout.
- Click OK.
Please Note: Edit Multiple is available for assigning the same track to multiple functions at once. If the Track field is not visible on the Edit Multiple window, edit the layout.
Change a Track
You can change the track description if necessary. Changing the track description updates the description throughout the software. To avoid changes to the existing track data, add a new track using the steps in Add a Track.
- Click the Tracks link from the Main Menu. The Tracks page opens.
- Right-click on the track and select Edit. The Edit Track window opens.
- Edit the track description. The track ID is not editable.
- Click OK.
Delete a Track
If you no longer use a track and do not need to keep a record of it, you can delete it. When deleting a track that is in use, the track assignment is removed from all functions. You cannot undo the delete process.
- Click the Tracks link from the Main Menu. The Tracks page opens.
- Right-click on the track and select Mark for Delete.
- Click Save.
Retire a Track
If you no longer use a track and want to keep a record of it, you can retire it. When you retire a track, it is no longer available for assignment. Existing track assignments remain.
- Click the Tracks link from the Main Menu. The Tracks page opens.
- Check the retire checkbox.
- Click OK.
