Session Proposal Statuses help you manage your proposal workflow. All Session Proposal Statuses are classified into one of the following groups: In Progress, Submitted, Approved and Rejected. The software provides a default status within each of these groups. You can add additional statuses to the Submitted, Approved and Rejected groups to accommodate your organization's proposal workflow. You cannot add additional statuses to the In Progress group. This group is reserved for proposals that have been started in the public-facing application but have not been submitted.
Add a Proposal Status
- Click the Session Proposal Statuses link from the Main Menu. The Proposal Statuses page opens.
- Click the Add button. The Add Proposal Status window opens.
- Enter the following information:
- Description - Name for the proposal status that your internal software users, evaluators and managers see.
- External Description - Name for the proposal status that submitters see.
- Explanation - Description of what the status means. Only visible to your internal software users.
- Group - Group for the status: Submitted, Approved or Rejected.
- Text Color - Text color for the status.
- Background Color - Color behind the text color for the status.
- Click OK.
Change Proposal Status Information
After you have created a proposal status, you can change any of the information for it except the group assigned to the status. When you change the proposal status information, it updates in all existing Session Proposal configurations. If you don't want to update existing Session Proposal configurations or you need to change the group assigned to the proposal status, then you must add a new proposal status using the steps in the Add a Proposal Status section.
- Click the Session Proposal Statuses link from the Main Menu. The Proposal Statuses page opens.
- Right-click on the proposal status you want to change.
- Select Edit. The Edit Proposal Status window opens.
- Make the necessary changes to the proposal status.
- Click OK.
Inactivate a Proposal Status
If you no longer use a proposal status but want to keep record of it for reporting or other purposes, you can make it inactive. When you make a proposal status inactive, it is no longer available for selection when creating new Session Proposal configurations. It does not remove the status from existing Session Proposal configurations.
- Click the Session Proposal Statuses link from the Main Menu. The Proposal Statuses page opens.
- Right-click on the proposal status you want to make inactive.
- Select Edit. The Edit Proposal Status window opens.
- To make the status inactive, uncheck the Active box.
- Click OK.
Delete a Proposal Status
If you no longer use a proposal status and don't want to keep a record of it, you can delete it. If you delete a proposal status that is assigned to any proposals, you must select a new status for the proposals.
- Click the Session Proposal Statuses link from the Main Menu. The Proposal Statuses page opens.
- Right-click on the proposal topic you want to delete.
- Select Mark for Delete.
- Click Save. If no proposals use the deleted status, the proposal status is deleted. If the proposal status is assigned to existing proposals, the Replace window opens. The window includes a list of all proposals using the deleted status. The proposal status is not deleted until the below steps are completed.
- Select the status for the proposals assigned to the deleted status from the drop-down.
- Click OK. The proposal status is deleted and proposals using the deleted status are updated with the status selected in step 5.
