Event function statuses are used to indicate where a function is in the overall process. You can create and update event function statuses from the Event/Job/Booking Status screen.
Default Function Status
The function status for new functions defaults to the event status status.
Status Codes
Momentus Enterprise uses status code to determine certain system behavior. Codes 80 and higher are Cancelled/Lost/Archived statuses. There is no cancel process for individual functions but you can set individual functions to a Cancelled/Lost/Archived status. The Cancelled/Lost/Archived status are also used with cancelling events which also cancels the functions for the event.
Add a Status
- Click the Event/Job/Booking Status link from the Main Menu. The Event/Job/Booking Status screen opens.
- Click the Add button. The Add Event/Job Status screen opens.
- Enter the following information:
- Description - Name for the status such as New.
- Event Scope - Select to use the status for Events, Functions or by both Events and Functions. If blank, the status is only used for Jobs or Job Functions.
- Job Scope - Select to use the status for Jobs, Job Functions or by both Jobs and Job Functions. If blank, the status is only used for Events or Functions.
- Text Color - Text color when the status displays in drop-downs and screens throughout the system.
- Background Color - Background color when the status displays in drop-downs and screens throughout the system.
- Status Group - Not applicable to function statuses.
- Abbreviated Description - Shortened description for the status drop-downs. It should relate to the Description field so your users can easily understand which status they are selecting.
- Abbreviated Code - Shortened code value for the status drop-downs. It should relate to the Code field so your users can easily understand which status they are selecting.
- Lost Flag - If checked, the status is a Lost status. Only available for statuses with status codes of 80 - 89. This is used for Lost business reporting.
- Code - Describes where the status falls in the overall structure of the statuses. The code value has further impact in the system and is used in access privileges and organization parameters. There are three main status code groups:
- 01-29 - Tentative statuses
- 30-79 - Firm statuses
- 80-99 - Cancelled and Archived statuses
- Click OK.
Change a Status
You can change all information for a status except the Code field. When you change the description, text color, background color, abbreviated description, status group, abbreviated description or abbreviated code of a status, it updates wherever the status is used. If you don't want to update the already existing status data, then you must add a new status using the steps in Add a Status.
If you change the scope of a status and the status is already used on an event and/or function, the status on the event and/or function does not change or get removed. You need to manually update the status on each event and/or function if you no longer want to use it.
- Click the Event/Job/Booking Status link from the Main Menu. The Event/Job/Booking Status screen opens.
- Select the status to edit.
- Right-click and select Edit. The Edit Event/Job Status screen opens.
- Make the desired change.
- Click OK.
Delete a Status
If you no longer use a status and don't want to keep a record of it, you can delete it. You can only delete statuses that are not used. You cannot undo the delete process.
- Click the Event/Job/Booking Status link from the Main Menu. The Event/Job/Booking Status screen opens.
- Right-click on the status to delete.
- Select Mark for Delete.
- Click the Save button.

Is it possible to change the event statuses in bulk i.e. across multiple events as opposed to doing it per event?

You cannot change the bookings on multiple events or change the event status on multiple events.
This restriction makes sense in many ways as spaces would need to be conflict checked. When updating many bookings at once, you would not want conflicting spaces to be confirmed at the same time.

We are having an issue where a specific Status Code (say, Pending) has been given a higher number than say a Confirmed Status and therefore we are unable to use the privelege restrictions which means each team member has full access priveleges to write over another event on the same date/time with only a pop-up.
I need to change this specific Status Code (i.e. Pending) to a lower Code number so that team members are unable to make the mistake of booking over a Confirmed event. Unfortunately, this means changing the statuses of a significant number of events to fix this issue.
To avoid doing it manually, any suggestions?

Eloise - Any kind of automatic method to change the code of existing statuses, or mass updating statuses, such as a SQL statement, would not be recommended. There is a lot of potential risk there with so much related functionality and logic based on statuses. I would recommend doing some analysis on how many functions would need to be changed. That would provide a scope of how big an effort this update would be. Overall, I'd recommend enlisting the assistance of your Ungerboeck consultant or CSM to discuss this further and explore potential options.

Hi there,
We have a Event/Job/Booking Status that we tried to delete. But it stated that the delete was unsucessful because it is being used. However, on the event screen, I cleared all the filters, and only chose this status (25), hit search. It returned nothing. So no events are having this status.
Is there anywhere else that I should check?

Hi Levin,
Depending on the configuration, the Status could also be used on Bookings, Functions, Job Bookings, Job Functions, or previously archived Events, Bookings, etc.
Your best option might be to run a SQL query to find where it has been used.
You can also set the Event Scope and Job Scope fields to blank to prevent it from being available/used in the future.
