Event opportunity statuses are used to indicate where an event opportunity is in the overall process. For example, you may have a New status, an In Progress status and Negotiation status to communicate to others viewing the event opportunity what stage you are in with the potential business.
You can create and update event opportunity statuses from the Event/Job/Booking Status page. Statuses with the Allow as Event Opportunity Status check box checked are available in the Status drop-down on the Add/Edit Event Opportunity window. The status with the lowest status code that is checked for Allow as Event Opportunity Status defaults into the Status field when adding a new event opportunity.
Status Codes
Enterprise uses status codes to determine certain system behavior. Status codes 80 and higher are Cancelled/Lost/Archived statuses and used to cancel event opportunities.
Add a Status
- Click the Event/Job/Booking Status link from the Main Menu. The Event/Job/Booking Status page opens.
- Click the Add button. The Add Event/Job Status window opens.
- Enter the following information:
- Description - Name for the status such as New.
- Event Scope - Select to use the status for Events, Functions or both events and functions (Both). For event opportunities statuses, you can select Events, Functions or Both but you cannot leave the field blank.
- Job Scope - Not applicable for event opportunities.
- Allow as Event Opportunity Status - If checked, the status is available for event opportunities. You may need to add this field to your window layout.
- Text Color - Text color when the status displays in drop-downs and screens throughout the system.
- Background Color - Background color when the status displays in drop-downs and screens throughout the system.
- Status Group - Select the status group for the status. Status groups are used for searching, reporting and display purposes in various system screens.
- Abbreviated Description - Shortened description for the status drop-downs. It should relate to the Description field so your users can easily understand which status they are selecting.
- Abbreviated Code - Shortened code value for the status drop-downs. It should relate to the Code field so your users can easily understand which status they are selecting.
- Lost Flag - If checked, the status is a Lost status. Only available for statuses with status codes of 80 - 89. This is used for Lost business reporting.
- Code - Describes where the status falls in the overall structure of the statuses. The code value has further impact in the system and is used in access privileges and organization parameters. There are three main status code groups:
- 01-29 - Tentative statuses
- 30-79 - Firm statuses
- 80-99 - Cancelled and Archived statuses
- Click OK.
Change a Status
You can change all information for a status except the Code field. When you change the description, text color, background color, abbreviated description, status group, abbreviated description or abbreviated code of a status, it updates wherever the status is used. If you don't want to update the already existing status data, then you must add a new status using the steps in Add a Status.
If you change the scope of a status or uncheck the Allow as Event Opportunity Status check box and the status is already used on an event opportunity, the status on the event opportunity does not change or get removed. You need to manually update the status on each event opportunity if you no longer want to use it.
- Click the Event/Job/Booking Status link from the Main Menu. The Event/Job/Booking Status page opens.
- Select the status to edit.
- Right-click and select Edit. The Edit Event/Job Status window opens.
- Make the desired change.
- Click OK.
Delete a Status
If you no longer use a status and don't want to keep a record of it, you can delete it. You can only delete statuses that are not used. You cannot undo the delete process.
- Click the Event/Job/Booking Status link from the Main Menu. The Event/Job/Booking Status page opens.
- Right-click on the status to delete.
- Select Mark for Delete.
- Click the Save button.
