You use host cities in event opportunities and when processing a lost event. In event opportunities, you can select the host city for the potential event business. When processing a lost event, you select the city the event is lost to.
Add a Host City
- Click the Host Cities link from the Main Menu. The Host Cities page opens.
- Click the Add button. The Add Host City window opens.
- Enter the following information:
- City Name - Name of the city. You do not have to use city names. You can also use a venue name or any other value that makes sense for selection on event opportunities and/or events.
- Scope Flag - Select if the host city is available for Events, Event Opportunities or Both (events and event opportunities).
- IACVB - If checked, the host city is tracked by the IACVB. Only applicable to event opportunities. Leave unchecked if the host city is used only for events.
- Default - If checked, the option defaults into Host City and/or Lost To drop-down. You can only set one default for all host cities.
- Click OK.
Change a Host City
You can change the scope, IACVB check box or default check box for the host city after you have created it. If you change the scope of a host city and the host city is already used on an event opportunity and/or lost event, the host city is not removed on the current or past records.
- Click the Host Cities link from the Main Menu. The Host Cities page opens.
- Select the host city to edit.
- Right-click and select Edit. The Edit Host City window opens.
- Make the desired change.
- Click OK.
Delete a Host City
If you no longer use a host city and don't want to keep a record of it, you can delete it. When you delete a host city that is used, you receive a prompt to select a host city to replace the host city you are deleting. You cannot undo the delete or delete and replace process.
- Click the Host Cities link from the Main Menu. The Host Cities page opens.
- Right-click on the host city to delete.
- Select Mark for Delete.
- Click the Save button. If the host city is used, the Replace window opens.
- Select the host city from the drop-down to replace the deleted host city.
- Click OK.
